Rota planning
Miles ERP helps to implement both shift plans and assignment of orders flexibly optimizing the use of human resources.
The system includes two applications for rota planning: staff availability plan can be found in Calendar, and it can further be refined in the actual Rota Planning application where you assign orders to the drivers.
Calendar shows availability
Whenever you want to know when employees are available for tasks, the Calendar application gives you quick answers: it shows the daily availability of your staff in one view. For each employee you see, e.g., overtime as well as the planned and realised hours.
Plan for work times, holidays and vacations is entered in the Calendar. The view also shows notifications of sick leaves and holidays as well as shift and leave requests that the employee himself can enter on the mobile app. The availability plan consisting of these annotations can in some business cases be used as the final rota, but it also provides a solid basis for more detailed rota planning.
Rota planning based on orders
In Miles ERP, driver selection can be performed manually or automatically as soon as the order is entered into the system. In addition, drivers may be authorized to pick up unassigned orders for themselves with the mobile app.
The system also has a Rota Planning application, enabling assignment of orders using mass editing functions. Calendar annotations and real-time status information on each driver's work phase help to identify available employees with the best possible accuracy.
The Rota Planning application is an effective aid in creating detailed shifts when their durations are determined by pre-assigned orders instead of pre-defined fixed times. The system automatically adjusts the plan, for example, adding additional hours and breaks between orders according to the collective agreement, so you can easily create optimized work schedules that follow the industry practices.
The rota planning view consists of assigned and unassigned orders, which are presented as an easy-to-understand whole. The view can be edited with grouping options: employees can be grouped by, e.g., unit, fleet and staff group, and unassigned orders by orderer, city of departure and destination, or assigned vehicle etc.
The application shows the planned and realised hours of employees and the total number of hours for the period in real time. You can emphasize overtime and public holidays and consider the restrictions on shifts imposed by the collective agreement.
Reusing schedule patterns speeds up planning
The schedule pattern feature is designed to streamline rota planning when your system has a large number of recurring orders that are arranged in similar patterns from one period to another. Once you have created an order schedule for one period, you can save it as a template, which makes it easy to drag and drop orders for drivers on other periods either individually or in larger subsets.
Schedule patterns can be used, for example, when:
- the original order schedule is copied to a new period as is
- you need to implement a pattern that differs slightly from the model, e.g., a rotating shift schedule within a driver group
